Why you hire a planner — the chef’s version
Most people think a planner is for taste: colors, flowers, how the room looks. That’s the loveliest part, and the smallest.
A planner protects the timeline, and the timeline is what decides whether the food is any good.
Here’s what that means in practice. A kitchen builds an entire evening backwards from one moment: guests seated, plates going down hot. Every step before it — when the last course goes in, when the sauce comes together, when service staff pick up — is pinned to that. Move it and everything behind it moves too.
So when speeches run twenty minutes long, or photographs overrun into golden hour, or nobody tells the kitchen the ceremony started late, the food doesn’t simply arrive twenty minutes later. It arrives held: rested too long, re-warmed, the texture gone. Nearly every disappointing wedding dinner we’ve seen was a scheduling failure, not a cooking one.
A planner is the person who tells the best man to sit down. On this coast they also solve problems nobody warns you about — venues with no kitchen, load-ins a hundred yards from the nearest road, a 10pm noise curfew, weather that turns while you’re plating, and vendors driving in from two hours away who need to be somewhere at the right time.
Not just weddings
Most of the names below are wedding planners, but several also coordinate retreats, corporate stays, milestone birthdays and family gatherings — which on this coast are just as logistically awkward and far less well served. If you’re running a multi-day retreat somewhere with no kitchen and no phone signal, a coordinator earns their fee on the first afternoon.
When you genuinely don’t need one
Fewer than about twenty guests, one location, one meal. At that scale a good caterer and a venue coordinator can carry it. Above that — or across more than one day, or at any venue where the infrastructure is coming in on a truck — a planner pays for itself, and usually more than once.

What to ask a planner before you hire them
- Have you worked at our venue before? On this coast that matters enormously — the venues are wildly different from each other.
- Who handles the day-of timeline, and when do vendors get it?
- How do you handle a venue with no kitchen, or no power at the dinner site?
- What happens if it rains? Every outdoor venue here needs a real answer, not a hopeful one.
- Are you full-service, partial, or day-of — and what exactly falls to us in each case?
- Do you also provide catering, flowers or rentals yourself? Useful to know before you ask for referrals.
